Reserve Day (Sunday 14th March 2010)

 

Severe weather conditions on the scheduled event day will see the event postponed to the reserve day, Sunday 14th March 2010. The weather is very unpredictable in the high country. A front can blow in and out of the mountains in less than 12 hours. In case of a postponement, please plan appropriately. All race timings will remain the same.

If the reserve day cannot be used the event will be canceled and there will be no refunds available.

Registration

 

We will NOT be posting out your race pack before the event. You will register, collect your race number along with your transponder at your designated start area. Please check timings for your specific event.

You must line up alphabetically according to your surname, if you know your race number this will be helpful once you get to the front of the queue. You can check on the list of entrants to find out your race number – click here to view.

Running/walking instructions
Once you have been given your timing transponder and race number these are your responsibility and must be attached by the following methods:

Marathon, Miners Trail & Adventure Run competitors must attach their race number by safety pins provided to the front of your top and be clearly visible at all times

Mountain Bike instructions

Mountain Bike number plates should look like this once attached. Attach your race number to the front centre of you bike using 3 zip ties supplied to secure the number plate to your brake cables or handle bars.

All transponders must be returned at the finish line, there will be volunteers assisting you to take off the transponders. Please note for Mountain Bike competitors you only need to return the white tag and not the black holder.

Transponders & Timing

 

Timing is provided by Time IT Limited. Time IT Limited are proudly transported across the Cook Strait by Bluebridge. Bluebridge are offering Motatapu competitors 15% off their mid range Super Sail fare (for cars and passengers). To book phone 0800 844 844 and quote Motatapu2010. Conditions apply.

Transponders & race numbers will be available to pick up on race morning at the starting areas of all events. See the race briefing notes and key information for your specific event for correct times and information.

 
 

Music Players

 

There are to be NO iPods, MP3 players, headphones etc used by competitors on race day. This is for safety reasons – you need to be able to hear what is going on around you on course - particularly runners when bikers are coming through behind them, and all competitors need to be able to hear if an emergency vehicle is coming through behind or in front of them.

This rule has been put in place due to complaints of runners not hearing bikers calling and giving them a fright as they pass them by, potentially causing accidents.

 
 

Event Safety

 
While we go to extraordinary lengths to ensure this is a safe event, participants must remember that when you are in the mountains YOU are the person primarily responsible for your own safety.

This means all competitors need to:
  • Read the briefing notes and key information
  • Carry the compulsory gear
  • Have a well maintained bike
  • Eat and drink enough to get through the event
  • Prepare yourselves and be trained and fit enough to not only last the distance but to maintain alertness throughout
  • Be prepared to walk the tricky Soho descent if you are tired

You must also remember that this is a back country event!

When you are biking or running anywhere in the back country, there are numerous unmarked hazards. If you are expecting a sign at every pothole, a marshal at every water crossing or tape on every descent, this event is not for you. We have listened to competitors' feedback, and a common theme is that the outdoor experience should not be spoilt by signage and tape, so we will limit this over the course.

It is likely that in the case of an accident, a fellow competitor will be the first on the scene. This might be you. If it is you, you must stop and give all reasonable care that you can, while sending someone forward AND back to get to the nearest radio so that we can get expert help on the scene as soon as possible.

Medics
We will have medics situated throughout the course. At the finish line we have the Red Cross who are first aid qualified. For any serious injuries at the finish line you will be directed to the nearest medical clinic or hospital.

Things you don't see
We place our dedicated communications links between Glendhu Bay and Arrowtown. This includes dropping in two repeater stations on two of the highest points on the route to improve communications in the valleys.

These repeaters will link up to other repeaters in the area to an estimated 95% coverage to the 50 handheld radios that will be in use by medics, bike mechanics, Event HQ, and volunteers.

Restricted access to the Motatapu Station Road and Macetown Road
We apply to the Queenstown Lakes District Council to have restricted access to these public roads. This DOES NOT mean the roads will be closed. Official race vehicles and ambulances WILL be using these roads in BOTH directions so LOOK out for vehicles at all times. Normal road rules will apply.

 
 

Cut Off Times

 

Marathon Runners: You need to reach Aid Station 2 by 12noon*, at Aid Station 2 there is 23km to go to the finish line.
Mountain Bikers: You need to reach Aid Station 2 by 3pm, at Aid Station 2 there is 23km to go to the finish line.
Adventure Run:
Fernburn Hut 8:00am
Jack Hall’s Saddle 9:3am
Highland Creek Hut 10:30am
Rose’s Saddle Hut 3:00pm
Macetown 6:00pm
Miners Trail: You will need to reach Bracken Saddle Aid Station by 12.30pm, this aid station is approximately half-way through the 15km course.

Marshals at these Aid Stations/check points will be watching that competitors are fit and able to finish the course safely. If it is deemed that you are not capable of finishing the course, race organisers have the right to pull you out of the race and you will be taken back to Glendhu Bay Motor Camp, when the Aid station pulls out.

*This is achievable by competitors wishing to walk the event at a good pace.

 
 

Support & Emergency Vehicles

 
Only official event support vehicles and emergency vehicles will be allowed on the course on the event day. They will provide critical logistic support, first aid, and transport race paramedics and doctors. Bikers and runners are to GIVE RIGHT OF WAY to the official event vehicles and any other emergency vehicles encountered. Please be observant!

Driving to Glendhu Bay Motor Camp (MTB start line & bus departure point for all Adventure Runners & Marathon competitors)

Please note the distance from where you are staying to the start area and plan accordingly. There will be heavy traffic flows heading towards Glendhu Bay Motor Camp so please take care and include this in your travel time.

  • Queenstown to Wanaka: 117km (via Crown Range)
  • Queenstown to Arrowtown: 22km
  • Cromwell to Wanaka: 55km
  • Wanaka to Glendhu Bay Motor Camp: 12km

The Wanaka A&P show is the same weekend as the Motatapu and there will be a road closure on McDougall Street between Brownston Street and Ardmore Street.

For competitors coming from Cromwell we suggest travelling along Ardmore Street and then onto Wanaka-Mt Aspiring Road to get to Glendhu Bay Motor Camp.

For competitors coming from Queenstown via the Crown Range we suggest travelling along McDougall Street, turn left into Meadowstone Drive, and left onto the Wanaka-Mt Aspiring Road. Note there are road works happening on race day, plan for 10 minute delays.

When entering the Campground DO NOT use the main entrance, there is a second gate approximately 200m further along the road, please use this entrance and follow the marshals instructions.

Traffic & Parking

Glendhu Bay Motor Camp
Please note Glendhu Bay Motor Camp is 12km outside of Wanaka. Traffic will be congested, please watch for hidden queues. Extreme care must be taken at all times. Traffic Marshals will be in place to direct vehicles. Please obey their instructions. If required all day parking will be available.

Entrance to the camp ground is not through the main camp gates, but about 200m past this gate on the right. Follow the signs and traffic marshals.

If you arrive early before the marshals are in place, please be quiet and respect camp ground rules.

Mt Aspiring College students will be directing cars to park. Please respect what they are doing and follow their instructions. Mt Aspiring help out every year and we are grateful for their support.

Absolutely no cycling or warm-ups on the public roads adjacent to the Glendhu Bay Motor Camp or on the Motatapu Road is permitted before the event.

NOTE: In the interests of safety and to minimise congestion, no parking is permitted on the road adjacent to the motor camp!

NO animals allowed at the campsite. Please respect this ground & adhere to the rules as we are lucky to be able to use this fantastic spot.

Please stay clear of caravan and tent sites in use and do not lean bikes against them.

We have a great privilege to use the Glendhu Bay Motor Camp as the start area for the Motatapu and we want to keep it. Please observe all their rules.

Food & Drink at Glendhu Bay
The Glendhu Bay Motor Camp shop (Located in the camp ground reception) has coffee and other products (chocolate bars etc) available. Please walk (don’t drive) down to the shop.

Arrowtown
Parking near the finish line is available on Ramshaw Lane and an area off Anglesea Street, a gold coin donation is required at the Anglesea Street parking with proceeds going to a local club. Supporters should expect to walk a short distance to get to the finish line.

We strongly recommend you get a personalised training schedule developed as everyone is very different and there is no 'one size fits all' when it comes to training schedules. Miners Trail
Here are some tips for the Miner’s Trail;

  • Your training should be starting to reach peak volume (5-4 weeks out) and you should be starting to add in some higher intensity type training.
  • Don’t try and amp the training right up 2-3 weeks out from the event - all the long hard sessions should be all done by then. At the other end of the scale, don't completely drop the training all together in the last 2 week taper - otherwise the body will go to sleep and will not fire the same on race day!
  • Practice running through the water at speed - this can often be a shock to the muscles and can cause cramp.
  • Approximately 4 kms of the Miners Trail course will be on completely un-tracked terrain involving a mix of rough farm pasture and high country tussock grassland. Training on similar uneven terrain is strongly recommended as part of your race build-up.
  • There is a 600 vertical metre height gain and subsequent descent over the course. Make sure to train regularly on off-road hills.

Prize Giving

 

Prize giving will be held throughout the day as competitors finish & place getters are known. Below is a guide for when prize giving’s are expected as they will be “rolling” i.e. as winners come through we will complete the prize giving. NOTE: note all times are subject to change on the day. Any not completed before the concert at 5pm will be held at 6pm when the concert finishes.

Finish Line Services

 

The finish line is located at Butlers Green, Arrowtown. There will be a number of post race services available including:

  • Queenstown Health / One on One physio services if required
  • Red Cross First Aid assistance if required (if you require more indepth assistance please go to the Queenstown Hospital in Frankton, 20 Douglas Street, by the airport)
  • Food and beverages, including Mt Cook Salmon, Speights Summit beer, Peregrine Wines, Ice Cream van, coffee, Fresh Choice supermarket.

Magic Memories will be taking photos of all competitors on the day. These will be available to view and purchase on our website for a limited time after the race. Note all photos are provided digitally for you to download. You will not be sent hard copies of the photos.

Photos will be available by the Monday after the race.

Your race number needs to be clearly visible from the front for the photographer to be able to identify you.

Cancellations/Refunds/Transfers

 

General Refund Policy

  • If you wish to withdraw from the race, please let us know by February 21, 2010 by emailing info@iconicadventures.co.nz
  • If you withdraw before the entries to your chosen race category (eg. MTB) have closed you will be entitled to a 75% refund of your race entry fee
  • If you withdraw after the entries to your chosen race category (eg. MTB) have closed you will not be entitled to a refund
  • If you withdraw from the race but do not receive a refund, you are entitled to receive a free copy of the Iconic Adventures magazine
  • If the reserve day should be cancelled due to weather conditions or other circumstances there will be no refunds
  • There is no roll over of any withdrawn entries to the next year’s event

Mountain Bike Entries
As of November 12 2009, mountain bike entries have closed and we do not have a waiting list. There are a couple of options available for those that missed out:

Marathon, Adventure Run and Miner’s Trail Entries
Marathon, Adventure Run & Miner's Trail entries are open until February 8, 2010. Get in quick before they sell out! No late entries accepted.

Switching to the Miner’s Trail for 2010
Current Motatapu competitors that entered before September 7th can switch to the Miner’s Trail and receive a refund of the entry fee difference until January 31, 2010.

Transferring Your Entry to Another Person
Competitors may on sell their entry but they must notify Iconic Adventures by completing an entry transfer form and returning it to Iconic Adventures. No form, no transfer. Click here to download the transfer form. Transfers will only be completed if there is space in the allocated event. All transfers processed after entries have closed will incur a $25 administration fee (MTB entries closed November 12, 2009; other entries expected to close January 31, 2010). No transfers accepted after February 21, 2010. We (Iconic Adventures) need to change the details over to the new entrant on our database for safety reasons. Racing under someone else's name causes a major safety hazard should the false competitor be involved in an accident. The false competitor and competitor whose name is being raced on may be disqualified, be ineligible to receive any merit or spot prizes and may be banned from entering any of our other races.

Deadline for All Changes
There will be no changes to any entries after February 21, 2010 due to our database being locked for timing and other purposes after this date.

 
 

FAQ's

 
 

1. Do I have to carry all of the compulsory gear?

YES. Even if it is a sunny day you must carry all of the compulsory gear. Remember that you are competing in the high country and the weather can change dramatically and close in very quickly and without warning. If this happens you do not want to be caught in the cold without warm gear.
Also remember that access to the course is very limited – if you are injured (and it is not an emergency) you may have to wait for several hours to be taken out, and you do not want to be without warm clothing in this situation either.

2. Do I have to carry a chain breaker?

YES. And you must know how to use it! Snow grass, swift water crossings, and mud are three 'prime chain break conditions' all which we have plenty of. You can break a brand new chain just as easily as an old one; one bad shift under pressure can do it - although a well maintained chain and bike definitely help avoid chain breaks.
If you do not carry a chain breaker, or you carry one but don't know how to use it and your chain breaks, you put the obligation for getting you out onto us, or your fellow competitors to help you fix it.

3. Is it essential for my bike to have suspension or shock absorbers?

A non suspended bike can be ridden across the course safely by a skilled rider without too much difficulty.
That said, however, there are definite advantages to having a suspension bike:
1. Less chance of 'impact' punctures, tire wall damage, and broken front wheels.
2. Less chance of the rider 'impacting' the front wheel and going over the handle bars.
3. Generally suspended bikes give the rider a greater margin of error.
If you are using a non suspended bike and are not an experienced rider it is recommended that you ride the creeks with caution or consider getting off. It is also recommended that you get off and walk down the boulder field on the Soho descent. It may also be a good idea to practice 'lifting' the front wheel. You should be able to comfortably (and gently) ride up and down curbs without 'bashing' or 'banging' either the front or back wheel. This will give you a feel for the required weight transfer you need to be able to ride through creeks.

4. How far apart are the Aid Stations?

For the Mountain Bike and Off-Road Marathon course;
Aid Station 1: 32km to finish line
Aid Station 2: 23km to finish line
Aid Station 3: 15km to finish line
Aid Station 4: 6.5km to finish line.

For the Miners Trail course;
There is one aid station at Brackens Saddle, approximately half-way through the 15km course.

5. What are the cut off times?

Marathon Runners: You will need to reach Aid Station 2 by 12noon
Mountain Bikers: You need to reach Aid Station 2 by 3pm
At Aid Station 2 there is 23km to go to the finish line.

Marshals at this aid station will be watching that competitors are fit and able to finish the course safely. If it is deemed that you are not capable of finishing the course, race organisers have the right to pull you of the the event and you will be taken back to the Glendhu Bay Motor Camp, when the aid station pulls out.
NOTE: Competitors have been turned back to Glendhu Bay over the years due to lack of fitness.

Miners Trail Runners: You will need to reach the Brackens Saddle Aid Station by 12.30pm, approximately half-way through the 15km course.
Marshals at this aid station will be watching that competitors are fit and able to finish the course safely. If it is deemed that you are not capable of finishing the course, race organisers have the right to pull you of the the event and you will be taken back to Arrowtown, when the aid station pulls out.

6. What food/drink should I take with me?

We recommend that you take at least 1000 calories worth of food with you to get you through the event.
There will be 4 aid stations along the way providing water to both runners and bikers, but you should also take your own water bottles and camelbacks filled with water or sports drink.
There will be cookies available for runners at Aid Station 4.
There will be Leppin available for runners at each aid station.

Miners Trail
Please ensure you carry enough fluids (water or dilute electrolyte sports drinks) to get you through the race, either side of the Aid Station. At the Aid Station cups of Leppin are available as well as self service water to top up your drink bladder/bottle. There are numerous stream crossings on course and competitors in past years have safely drunk out of the streams. We will be using water from the mountain streams at the Aid Station. We recommend you carry high energy snacks/gels etc and use as required to maintain energy levels throughout the course.
PLEASE carry out all litter and respect the environment and property you are on.

7. What is the average time taken to complete the marathon?

The average time for the marathon is approximately 4 1/2 - 5 hours and this is for moderately fit, prepared people, running in good conditions.

8. What is the average time taken to complete the mountain bike?

The average time for the mountain bike is approximately 4 1/2 hours and this is for moderately fit, prepared people, riding in good conditions. The slowest people will arrive around the 6 hour mark.

9. What sort of ability/fitness is required for the marathon course?

Well it is a marathon, so naturally you need to be fit and prepared with plenty of training. It is also recommended to do plenty of hill work in your training as much of the course is uphill (although hopefully the spectacular scenery will distract you from the fact that you are running up hills….).

10. What sort of ability/fitness is required for the mountain biking course?

It is not a technically difficult ride, but it should be remembered that the ride climbs for 35kms. That is a long way and could take 4-6 hours if you are not fit!
If the conditions are adverse (snow, rain, wind) then it could take even longer.
While the ride is enjoyable and achievable for one-event-a-year people, you need to be honest with yourself and you need to do some training! You should be training to complete the course no later than 7pm - it will start to get dark around then and it is too dangerous to be out on the course after this time.

11. Can I enter as a walker?

Off-Road Marathon
YES. You may enter the marathon as a walker but you must be able to reach Aid Station 2 by the cut off time of 12 noon. At Aid Station 2 there is 23km to go to the finish line.

Miners Trail
YES. You may enter the Miners Trail as a walker but you must be able to reach the Aid Station cut off time of 12.30pm. This Aid Station is approximately half-way through the course.

12. Can I transfer my entry to someone else?

Yes. Competitors may transfer their entry to someone else. Please download the transfer form, complete and return to Iconic Adventures. NO FORM, NO TRANSFER
The form must be received by Iconic Adventure by the 28th February 2010, no changes after this date. All transfers after entries have closed incur a $25 administration fee.

13. What is the minimum age for the event?

The minimum age for the mountain bike is 15 years on race day.
The minimum age for the marathon is 20 years on race day.
The minimum age for the miners trail is 18 years on race day.

14. Is it a full measured marathon?

The Motatapu marathon is an off road event and therefore the distance is variable. For Olympic Marathons (on road) you have to realise that they can follow a line that measures exactly 42.195km (26 miles) and even then competitors do not run the exact line.

Over the years the Motatapu station owners have made vast improvements to the farm tracks on which parts of the course traverse and this has meant a subsequent shortening of the course. Many sections of the course are through river beds offering numerous routes to cross dramatically increasing or decreasing the distance run. The course has been measured with GPS devices and bike computers and all provide different results, every year.

There is also no exact route that can measured, particularly with all the river crossings, nor can we paint a line on the course for you to follow.

The course is as close to a full marathon distance that we can get, however given the nature of this off road event we cannot guarantee the course is a full 42.195km distance, just like most other marathons in New Zealand.

15. What is the average time taken to complete the Miners Trail?

We estimate an average race run time to be approximately 2hr:30min for moderately fit, well prepared people, running in good conditions.

16. What sort of ability/fitness is required for the Miners Trail course?

Hill work should regulary feature amongst your training runs, there is 680 vertical metres of climbing and descending on the course. Preparing your feet and ankles for rough terrain is also recommended. Keep off the ashphelt and train specifically for the expected environment.
